Privacy notice

How the association collects, uses and protects personal information.

The Bulawayo Chess Association operates in full compliance with the Cyber and Data Protection Act [Chapter 12:07] of Zimbabwe.

Data controller

The data controller is the Bulawayo Chess Association. Questions and requests about your personal data go to the Secretariat.

What we collect

Full legal name, date of birth, contact details, transaction records, tournament performances, FIDE identification numbers and institutional or club affiliations. When you apply online we collect your name, e-mail address, phone number (optional), FIDE ID (optional), year of birth (optional), club and the information you choose to provide about eligibility.

Why we collect it and how long we keep it

Information is gathered strictly for event administration, rating adjustments, membership record maintenance and official communications. Records are maintained for the duration of active membership plus statutory archiving periods.

Sharing

Necessary data points are shared with the Zimbabwe Chess Federation (ZCF) and the World Chess Federation (FIDE) solely for official rating processing. Financial data remains confidential and will never be commercialised.

Payments

Card and mobile-money details for online payments are entered on the payment provider’s systems, not on this website. We store the payment reference, amount, currency, status and dates only.

Elections

Ballots are secret. The system records whether a member has voted in an election separately from the ballot itself, and administrators cannot see how any individual voted.

Your rights

Members retain the right to request access to, correction of and deletion of their personal data by writing directly to the Secretariat.

Protection of minors

Personal data for minors under 18 is processed only with explicit parental or guardian authorisation.
